Role and Responsibilities

We are looking for an agile, creative and enthusiastic Sales Support Specialist to support our European sales team to meet its targets. In this role, you will be providing administrative and operational support to the sales team, especially by managing all the international events, exhibitions, conferences arrangements, as well as by managing the sales process and sales meeting. You will work closely with the marketing team to make sure the sales team has everything it needs for top-notch performance.

The job involves a hybrid working arrangement, including office-based work, home office, and remote working environments such as conferences or customer events. As the primary organizer, you are required to travel and actively participate in 3-5 events per year, with responsibilities encompassing all aspects of event organization. The role offers flexible work schedules and requires a customer service-oriented mindset. During other events, flexible working hours are necessary as some events may occur on weekends.

To be successful in this role, the Sales Support Specialist should be proactive, taking initiative and addressing issues before they arise. They should also be self-motivated and driven to achieve goals without needing constant direction. Furthermore, they should consistently exceed expectations, setting a high standard for themselves and others.

Responsibilities:

  • Planning and organizing participating on national and international conferences and exhibitions, assist and coordinate event planning, event sponsorships, event budgets, exhibition booth design and setup, event logistics, solving problems
  • Supporting the sales team: pre-sales email campaign, CRM campaign
  • Operating the sales helpdesk, administrative assistant of VP of sales
  • Organizing internal meetings, client meetings, internal events and training
  • Meeting records, working with databases in Excel and Google sheet,
  • Prepare reports based on issued invoices, sales results, sales forecasts, leads and CRM, prepare reports for sales team meeting
  • Supporting and handling invoicing and contract renewals.
  • Other sales activities, depending on your background and experience, including tender support, etc.

Qualifications:

  • Suitable business administration education, B.Sc. or equivalent
  • Experience in international conference and exhibition coordination
  • 3-5 years of relevant work experience
  • Fluent written and spoken English (no need to speak Finnish)
  • Excellent project management and problem solving skills
  • Ability to work completely independently and proactively
  • Strong communication skill and and being customer oriented
  • Goal-oriented, organized and able to manage time
  • Office365 (Excel, Word, Powerpoint) skills
  • Google Workspace (docs, sheets, slides, forms, calendar) skills

What is seen as an advantage:

  • Experience of international business environment
  • Experience is sales or presales or telesales
  • Experience in event planning and participation management
  • Experience of CRM systems (e.g. Hubspot, Salesforce) (not a must)
  • Experience or professional interests in biomedical sciences or ICT
  • Knowledge of efficient customer support techniques

Additional information

Aiforia is not able to sponsor any visas for this position.

This international role will be based primarily in Finland.
